Policy and procedure review policy
A policy is a plan of what to do in particular situations that has been officially agreed to by the business. Policies communicate the connection between PEER Construction’s vision and values and its day-to-day operations. Well written policies help employers manage employees more effectively by clearly defining acceptable and unacceptable behaviour in the workplace and set out the implications of not complying with those policies.
A procedure is a set of actions that is the official or accepted way of doing something. Procedures detail how to deal with a situation and when. Workplace policies often reinforce and clarify standard operating procedure in a workplace.
Purpose
The purpose of a comprehensive review is to take an in depth look at existing administrative policies to determine:
- if a policy is still needed or if it should be combined with another administrative policy
- whether the purpose and goal of the policy is still being met
- if changes are required to improve the effectiveness or clarity of the policy and procedures.
Scope
The scope of this policy is to review policies and procedures on a regular basis to keep them up to date.
Importance and benefits
Reviewing policies and procedures is important as:
- outdated policies put PEER Construction at risk.
- old policies may be non-compliant with new laws and regulations.
- it ensures policies are consistent and effective.
- PEER Construction keeps up to date with regulations, technology, and industry best practices.
Review process
Policies should be reviewed to ensure they:
- are consistent with the values of PEER Construction
- comply with employment and other associated legislation
- demonstrate that PEER Construction is being operated in an efficient and businesslike manner
- ensure uniformity and consistency in decision making and operational procedures
- save time when a new problem can be handled quickly and effectively through an existing policy
- foster stability and continuity
- maintain the direction of PEER Construction even during periods of change
- provide the framework for business planning
- assist in assessing performance and establishing accountability
- clarify functions and responsibilities.
Policies and procedures are living documents that should grow and adapt with PEER Construction. They are to be reviewed regularly (at least annually) to ensure they are current and in line with any changes within PEER Construction, legislative or regulatory requirements and SafeWork SA.
When reviewing a policy and procedure consult with any of the following: stakeholders, WHS representatives, employees and/or contractors and collate feedback for any changes to policy and procedures
Where policies are significantly changed, they should be re-issued to all employees with the changes explained to ensure all employees understand PEER Construction’s directions.
